Acceptable Use of Digital Assets

  1. Purpose: This policy is designed to guide the appropriate use and management of digital assets, including but not limited to photographs (digital and scanned), logos, video clips, audio files, and other digital or online assets not owned or generated by ABHMS, used in our organizational websites, applications, services, publications, and more.

  2. Scope: This policy applies to all employees, volunteers, and associates of our organization who need to use digital assets for their work.

  3. Policy:

    a. Source of Digital Assets: All digital assets used for organizational purposes should be sourced either from the ABHMS IMPAAATS image repository or through an organizational account with Envato Elements. Unauthorized use of digital assets from other sources is strictly prohibited.

    b. Access to Envato Elements: Due to limited licenses, only specific individuals are authorized to have Envato Elements accounts. These individuals are provided at the bottom of this page.

    c. Requesting Digital Assets: If an employee requires digital assets and does not have an account, they should contact a colleague in their unit or contact IMPAAACTS for assistance. All requests should be made in a timely manner to ensure that the necessary assets can be obtained without delaying work.

    d. Prohibited Use: Digital assets should not be used for personal purposes or shared with individuals outside the organization without proper authorization.

  4. Reporting and Enforcement:

    a. Violations: Any questions, concerns, or violations of this policy should be reported to help@abhms.org.

    b. Consequences for Violations: Consequences for violating this policy will be determined at a later time.

  5. Exceptions: There are no exceptions to this policy at this time. All employees, regardless of their role or level within the organization, are expected to comply with this policy.

  6. Review and Updates: This policy will be reviewed and updated annually or as needed, as determined by the CISO. All employees will be notified of any changes to the policy and are expected to read and understand any updates.
